Position: HR Generalist, Japan

Location: Tokyo, Japan
Nature and Aim of the Position
This role plays a key part in executing day-to-day HR operations and supporting a smooth employee experience throughout the employee lifecycle. Responsibilities include payroll, recruitment coordination, onboarding, offboarding, HR data management, and ensuring compliance with local employment laws and internal policies. The HR Generalist also provides administrative support for HR initiatives and collaborates with both regional and global HR teams to ensure operational excellence.
Key Responsibilities
Recruitment Operations
- Coordinate the full recruitment process including job postings, interview scheduling, and candidate communication.
- Liaise with hiring managers to ensure timely and efficient hiring.
- Prepare and issue offer letters and new hire documentation.
Onboarding & Offboarding
- Coordinate onboarding activities such as orientation scheduling, system setup, and compliance documentation.
- Facilitate offboarding processes including final documentation and system deactivation.
- Provide administrative support for probation and confirmation procedures.
Payroll & Employee Data Management
- Process and validate monthly payroll data in collaboration with external vendors and finance.
- Ensure payroll accuracy, legal compliance, and timely reporting.
- Maintain and update employee records in the HRIS system.
HR Administration & Compliance
- Ensure HR practices align with Japanese labor laws and internal policies.
- Support HR audits and prepare documentation for labor inspections.
- Administer benefits, leave management, and employee status changes.
Employee Support
Guide employees through administrative processes and respond to requests in a timely manner.
Support for HR Initiatives
- Assist in executing employee engagement and welfare programs.
- Support training coordination and internal communications.
- Contribute to HR reporting and metrics tracking for internal stakeholders.

Qualifications & Experience
- Bachelor’s degree in Human Resources, Business Administration, or related field
- Minimum 2 years of experience in an HR generalist or HR operations role in Japan
- Strong understanding of Japanese labor laws and HR compliance
- Experience in payroll, recruitment coordination, and employee administration
- Proficiency in HRIS systems and Microsoft Office
- Fluent in Japanese and business-level English
- Proactive, detail-oriented, and highly organized with the ability to work independently
